Job Profile for Office Administrator with Salesforce
Responsibilities will include but not be limited to:

Salesforce duties:

  • Maintain and administer oversight of Salesforce
  • Be the company’s data quality champion
  • Manage and set up users, profiles, user permissions, workflows, fields and perform other application related management
  • Support the Sales, Marketing, Product, Systems and Finance teams with customised reporting and dashboards
  • Work with Systems and Sales teams to create and maintain integrations, reports and user/customer usage analytics dashboards
  • Manage entitlements, activity & usage data
  • Support Sales with regular review meetings focused on pipeline and forecasting accuracy improvement
  • Support the Sales team and the Management team with forecasting information
  • Support Finance and Sales in payment automation reporting

Office/Administrative duties:

  • Provide support for other staff (i.e. taking meeting minutes, creating templates, general typing, faxing, filing and other duties as required)
  • Greet guests; answer & direct enquiries through phone system
  • Open & distribute mail; deliver mail to post office when required
  • Arrange and receive courier packages
  • Take deposits to bank
  • Set appointments and arranging meetings
  • Prepare meeting material as required
  • Organise and book travel arrangements as required
  • Track office supplies (paper/pens etc.); create order for review when required
  • Overall maintenance and organisation of filing systems
  • Maintain quality service by following organisation standards
  • Other duties or special projects as assigned

Accounting/Finance support duties:

  • Act as support for accounts receivable and collections via Salesforce
  • Act as a contact with vendors, maintaining positive working relationships
  • Draft /create purchase orders, utilities, etc. for office related purchases, in accordance with company purchase request policy; follow up on outstanding orders
  • Ensure maintenance of complete & accurate vendor files (in QuickBooks and hard copy)
  • Regular follow up with clients and contribute to improving and maintaining company policies and procedures

Candidate Profile for Office Administrator with Salesforce

  • Must be fluent in Dutch and English, both written and spoken
  • Must have completed post-secondary education, preferably with focus on business, marketing or communication
  • 2+ years supporting sales, marketing, systems and executive teams with CRM (Salesforce experience strongly preferred) with data entry, data quality, CRM automation, etc.
  • Minimum 1-3 years of experience in office management and accounting support
  • Proficiency Microsoft Office Suite or similar systems is required
  • Salesforce certification is preferred but not required with strong, evident work experience
  • Familiar and comfortable with reporting on sales and marketing processes
  • Understands the sales cycle and the associated tasks to support a team’s success
  • Ability to communicate with individuals at all levels of the organisation, for example: Business Accounts Manager, Sales Executive, Senior Marketing, CFO and others
  • Exemplify initiative, motivation and a desire to do the job well and on time
  • Proven track record of being able to work with a varied team and being a positive communicator and contributor
  • Highly responsible, self-motivated and able to work with minimal supervision
  • Ability to work both independently as well as within a small team (on-site & abroad)
  • Passion for data quality, delivering projects against an agreed timeline, and for sales and driving revenue
  • Must possess excellent organisational, multi-tasking, and time management skills
  • Must be adept at problem-solving, including being able to identify issues and resolve programs in a timely manner
  • Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skilfully gather and analyse information
